What you’ll need
- The printer switched on and showing ready
- A printed network configuration report (for network printers)
- The USB cable, if you connect that way, plus a spare cable if available
- An administrator account on the computer
Overview
When a laser printer is not detected, the computer either can’t reach the printer at all or can reach it but can’t use it because the driver is missing or broken. This guide helps you tell those apart and fix each, working from the simplest checks to driver repair.
Messages differ between Windows and macOS and between printer makers. Common examples are “No printers were found”, “Driver is unavailable” and a printer that appears in the list but won’t print. Treat the wording in this guide as examples.
Before you start
- Check the printer itself. It should be on, warmed up and showing ready, with no error messages, open doors or empty trays.
- Know the connection type. USB cable, Wi-Fi or Ethernet. The checks differ.
- Print the printer’s own configuration report. If the printer can’t print its own report, solve that first; the computer isn’t the problem yet.
- Use official software only. If you need a driver, get it from the manufacturer’s support site or your operating system’s updates.
Key terms
- Detected: the computer can see the printer, by cable or on the network.
- Driver is unavailable: a Windows status meaning the printer entry exists but its driver is missing or damaged.
- Print spooler: the Windows service that manages print jobs. If it stops, printers can disappear or fail.
- USB hub: a device that adds extra USB ports. Some printers work less reliably through hubs or docks.
Fix a printer the computer can’t see
- For USB printers, check the cable path. Connect the cable directly to a port on the computer, not through a hub, dock or keyboard. Try a different port, and a different cable if you have one. Some laser printers don’t include a USB cable, and some charging-only cables don’t carry data. Does the computer react when you plug it in? If yes, go to the next section to add the printer. If not, restart both devices and try again.
- For network printers, confirm the network. Compare the network name on the configuration report with the computer’s network. Both must be on the same network, not a guest network. Turn off any VPN on the computer temporarily.
- Restart in order. Turn off the printer, restart the router if the printer is on the network, turn the printer back on, then restart the computer.
- Add the printer by IP address. On Windows, use the option for a printer that isn’t listed and add it by IP address. On a Mac, use the IP tab in the add printer window. Type the IP address from the configuration report. Was it found this way? If yes, the automatic search was the problem, and the printer now works. If not, the printer may not be on the network: see laser printer Wi-Fi not working.
- Check firewall or security software. Some security suites block printer discovery. Their help pages explain how to allow local network devices. Don’t turn off protection permanently.
Fix driver errors
- Remove the printer entry. On Windows, open Settings, Bluetooth & devices, Printers & scanners, choose the printer and remove it. On a Mac, remove it in Printers & Scanners.
- Restart the print system. Restarting the computer is the simplest way. On Windows, Microsoft’s support page also explains how to restart the Print Spooler service.
- Reinstall the driver from an official source. Add the printer again so Windows or macOS installs its driver, or run the manufacturer’s current package for your operating system. See how to install or update a laser printer driver.
- Check compatibility after an operating system upgrade. If the problem started after a major update, the manufacturer’s site may list a newer driver or note which models are supported. Does a test page print now? If yes, check that only one entry for the printer remains.
Which fix applies to you?
A quick way to decide: if the printer is missing from the computer’s list entirely, work through the first section, because the computer can’t reach the printer. If the printer is listed but shows an error such as “Driver is unavailable”, or jobs fail straight away, the second section applies. If the printer was found once and disappears from time to time, the cause is usually the network rather than the driver, and the Wi-Fi troubleshooting path is the better place to start.
Check that it worked
- The printer is listed on the computer with your exact model name and a ready status.
- A test page prints from the computer.
- The printer stays detected after a restart of both devices.
- For USB printers, it works on the port you plan to use permanently. For network printers, it still works the next day.
When to contact the manufacturer
Contact the manufacturer through its official support site if:
- The printer can’t print its own configuration report or shows a hardware error.
- No current driver is offered for your operating system.
- The USB port on the printer seems loose or damaged. Don’t try to repair it.
- The official installer can’t find the printer even though the printer’s report shows it on your network.
FAQ
Why does Windows say “Driver is unavailable”?
The printer entry exists, but its driver is missing, damaged or incompatible. Remove the printer, restart the computer, then add the printer again or install the manufacturer’s current driver.
My USB printer isn’t recognized. Is the port broken?
Not necessarily. Try a different USB port on the computer, a different cable, and a direct connection without hubs or docks. If none of that helps and the printer prints its own report, contact the manufacturer.
Can antivirus software stop a printer being detected?
Some security software can block network discovery. Check its settings for local network access, and keep protection turned on.
Why can one computer see the printer but another can’t?
Usually the second computer is on a different network or band, uses a VPN, or has an old printer entry. Check its network, remove old entries and add the printer by IP address.
Do I need to reinstall the driver every time the printer isn’t detected?
No. Most detection problems are connection or network issues. Reinstall the driver only when the printer is reachable but the computer still can’t use it.
